Data Protection Policy

Our privacy policy is aligned and compliant with UK Data Protection Legislation and GDPR regulations. HCCS will always respect the privacy of individuals who browse our website and leave contact details with us.  This policy contains information about what to expect when we collect personal information about you and how we will use that data.

The policy applies to information we collect about:

  • Visitors to our website
  • People (members and non-members) who sign up to our mailing list.

HCCS does not track your activity as an individual.

What personal data we collect and why we collect it

  • Names, postal addresses, phone numbers and email addresses of members, supplied when they apply for annual subscriptions.
  • A list of members making donations.
  • A list of non-members’ email and/or postal addresses, obtained by inviting them to fill in a form to join our mailing list for information about concerts.

This data is stored on password protected desktop computers by the Membership Secretary and Treasurer and is only shared with other trustees on request, for Society purposes only and never with third parties.

Email addresses of members are additionally stored in Google Contacts and managed by the Membership Secretary. Email addresses of non-members are similarly stored and managed by the Marketing Secretary and not kept with members details.

Personal data is used for the following purposes:

  • To produce mailing lists for brochures and AGM papers
  • To email members on administrative matters
  • To email members and non-members about concerts, events and programme changes
  • To generate Gift Aid returns for HMRC

Any information you submit to us will be regarded as confidential and will not be passed to any 3rd party or other organization without your express prior permission.  Any such information will be stored in accordance with the applicable data protection legislation and we will use all reasonable efforts to safeguard personal information and to protect your details against third party access or modification.

Information about members is retained as long as they continue their membership.  When members cease membership we ask them whether they wish to continue to receive communications from us.  If they do not, we delete their information from all our lists.  Similarly, information about non-members is retained only as long as they wish to receive communications from us.

When non-members register with HCCS to receive information about concerts and events, their addresses will only be used for that purpose and consent to use that data for that purpose is expressly given.

Your Access to Your Information

You have a right under the Data Protection Act 1998 to request a copy of the information that we hold about you.  If you would like a copy of your stored data, please email enquiries@chamberconcert.co.uk.  We may make a small charge for this service.

We want to make sure your information is accurate and up to date; you may ask us to correct or remove information you think is inaccurate.

Use of Cookies

Any cookies which are used are to ensure proper running of the site only.  They are not used for tracking purposes and such information will not identify you personally.  You can adjust the settings on your computer to decline cookies if you so wish. This can be done within the ‘settings’ section of your computer.

This website uses Google analytics to understand website visitor activity so your visit will be tracked anonymously.

Responsibility

The Chair and Data Protection Officer (DPO) are responsible for this Policy in consultation with other Trustees and for ensuring it is observed.  The Webmaster and the Trustees who act as Membership Secretary, Treasurer and DPO manage the information databases in accordance with this policy.
